Product data systems for the DPP (PLM, PIM, QMS, ERP, MDM)

Also known as: DPP system landscape, product data backbone, MR/DPP data architecture, product information management (PIM) for the DPP

Product data systems for the DPP are the company systems that hold the data behind machinery safety evidence and digital product passport content — typically PLM, PIM, QMS or eQMS, ERP, product master data management (MDM), supplier portals, sustainability tools, documentation systems and a DPP platform. Each owns part of the product truth; no single system covers both layers alone.

Example

PLM holds the component version and change request, the eQMS the approved risk assessment, the supplier portal the material declaration and product MDM the product identifier; the DPP platform reads the passport fields and owns none of them.

How it applies

  • PLM: Engineering structures, configurations, component and software versions, change requests — often the natural anchor for safety-relevant changes in machinery.
  • PIM: Structures, enriches and distributes product information where it must be consistent, reusable and publication-ready. Useful, but not the whole answer.
  • QMS or eQMS: Controlled documents, approvals, audit trails, CAPA and conformity records — the place for evidence that must hold up in an audit.
  • ERP and product MDM: ERP holds procurement, material and transaction data; MDM governs product identity, master data quality and duplicate prevention.
  • Supplier portals and sustainability tools: Declarations, provenance and material data from the value chain; carbon, recyclability and end-of-life data.
  • DPP platform: A publication, access-rights and registry-facing layer. It should consume data from the owning systems, not become a second master; see DPP source of truth.
  • The connection: What matters is not the system label but whether product identity, versions, evidence links, owners, access rights and approval status stay aligned across systems — a governed digital thread.

PIM vs. digital thread

PIM is one system that manages product information for reuse and publication. A digital thread is the governed set of links across all systems — PLM, QMS, ERP, MDM, supplier data, documentation and the passport — that lets each value be traced to its source and its consequences.

Compared with the USA, Canada and China

The same system questions arise under US, Canadian and Chinese traceability rules, but mostly for one-time reporting. The EU passport's lifecycle updates make the connection between systems a lasting task.
