Semantic documentation

Semantic documentation is a model of technical documentation in which the meaning of content — its subject, the product it applies to, its purpose and its relations — is represented explicitly in machine-readable form. Markup and metadata describe what content is about rather than only how it is displayed. Semantic documentation makes content selectable, connectable and processable by systems, including search engines, content delivery portals and AI applications.

Definition

Semantic documentation describes content by its meaning. Two levels are distinguished: semantics inside the content, expressed by markup that names the subject of an element (for example a parameter, a torque value or a hazard), and semantics about the content, expressed by metadata that classifies a unit by product, component, lifecycle phase, information type and audience. Both levels refer to controlled vocabularies, taxonomies or ontologies, so that systems interpret the descriptions consistently.

Historical development

Descriptive markup in SGML and XML separated content from presentation from the 1980s onward. Topic architectures added information types, and classification schemes added product and audience metadata for filtering. Semantic web technologies such as RDF and OWL provided formal models for shared vocabularies. In technical communication, delivery standards such as iiRDS, published by tekom, defined a common ontology for metadata of technical documentation so that content from different manufacturers can be processed by the same delivery systems. Mark Baker’s work on structured writing distinguishes subject-domain markup, which records the subject matter, from document-domain and media-domain markup.

Components

  1. Semantic markup. Elements and attributes that name what content is about.
  2. Metadata. Properties of content units, often split into administrative and descriptive metadata.
  3. Vocabularies. Controlled lists, taxonomies and ontologies that define permitted values and their relations.
  4. Information model. A technology-neutral model of the content types, metadata and relations of a documentation set.
  5. Delivery formats. Packages that carry content together with its metadata, such as iiRDS packages.

Function and purpose

Semantic documentation allows content to be retrieved by product and situation, assembled dynamically, exchanged between organizations and linked to product data, service systems and knowledge graphs. It is a precondition for reliable use of documentation by AI systems, which depend on accurate context to select and cite the right content.

Applications

The model is applied in content delivery portals for machinery and equipment, service and maintenance applications, digital twins and product data exchange, and retrieval-augmented AI assistants for documentation.

Limitations

Semantic enrichment requires agreed vocabularies and consistent tagging. Metadata that is incomplete or applied inconsistently reduces retrieval quality and can mislead systems that rely on it. Maintaining ontologies and their mappings across organizations is a long-term governance task.

Relation to other models

Semantic documentation complements topic-based documentation, which provides the units, and structured authoring, which provides the markup. It makes EPPO’s requirement that a page establish its context machine-readable.

Conclusion

Semantic documentation shifts the description of technical content from appearance to meaning. Its benefits depend on shared vocabularies and on the discipline with which they are applied.
