Automated style checking

Also known as: Automated style check, Style checker, Controlled-language checker, Authoring assistance

In technical communication, automated style checking is the use of software to check texts against a style guide, grammar rules, approved terminology and the rules of a controlled language, either rule-based or with AI models, and to report or suggest corrections to the author.

  • Technical documentation

In one sentence

Automated style checking tests texts against style, grammar, terminology and controlled-language rules; it checks wording, never facts or safety content.

Example

Before review, a checker flags a sentence of 32 words, a passive instruction and the unapproved term “E-stop button” in a maintenance procedure.

How it applies

  • Rule sets: Checkers implement a company style guide, a terminology list from terminology management or a controlled language such as ASD-STE100 (sentence length, one meaning per word, active voice in instructions).
  • Rule-based and AI-based: Rule-based checkers report deterministic, repeatable findings. AI-based review can also flag unclear wording and suggest rewrites, but its findings vary between runs and its suggestions are AI-derived text that has to be reviewed like any other.
  • Translation: Consistent, rule-conforming source text improves translation memory matches and machine translation output.
  • Limits: A style check is not a content check. It does not verify technical facts, values or the completeness of safety-related information, and a clean report is not a release. Rewrites must never shorten or weaken warnings or required information.

Automated style checking vs. review

A style checker compares wording with rules. A review compares content with the product, the risk assessment and the requirements for the information for use, and ends with a decision by a responsible person. The checker can make the review faster; it cannot take its place.
